Create a bad-weather plan for your outdoor event

Prepare an outdoor event’s backup plan before booking services. Cover wind, cold, and heat as well as rain, and consider how guests, catering, and equipment will function in changing conditions.

Plan a workable alternative space

Ask whether the guests and program fit indoors or in another suitable sheltered area. A canopy does not solve every weather condition. Confirm safe operating limits for structures and event equipment with their suppliers.

Review access from parking, restrooms, and the catering workspace too. The backup plan should serve the whole event, not just one activity.

Decide when to switch plans

Name the person who monitors conditions and decides based on agreed specialist guidance. Ask suppliers how much notice changes require and what they cost. Do not leave the decision until equipment has been set up in the wrong place.

Agree how performers, caterers, staff, and guests will be informed. A single location change can affect several providers’ transport and schedules.

Budget for a real alternative

Check the costs and reservation terms for extra space, equipment, staff, and transport. If the backup cannot actually be delivered, address that during planning and change the event arrangements.

For example, moving garden dining indoors may also require a new performance area and table layout. Check these options on site when choosing the venue. A good backup plan is an agreed arrangement everyone understands in advance.
