Business premises costs beyond rent
The full cost of business premises includes operation, services, and adapting the space to your needs as well as rent. Compare options over the same period and separate monthly costs from one-time purchases.
Itemize recurring charges
Ask the landlord which services rent includes and which are charged separately. Check energy, water, cleaning, waste, connectivity, parking, and security, for example. Establish how charges are calculated and adjusted during the agreement.
Include services your business orders directly. Do not count the same maintenance twice, but do not treat an omitted service as free.
Calculate moving and setup costs
Alterations, furniture, installation, moving services, and any overlap between premises form a separate cost group. Establish who pays for agreed changes and what must be done to the space when the agreement ends.
Distinguish cash tied up in a deposit from actual expenses. Discuss tax and accounting treatment with your finance team; the same tax assumption will not fit every business.
Test different usage scenarios
Compare current staffing and possible growth. Ask what another workstation, storage area, or change in opening hours would cost. If additional space would require another move, a cheap option today may cost more later.
For example, a smaller office may have lower rent but require off-site storage and separately rented meeting rooms. Calculate using your actual quotes and expected use.
Assessing whether a business move is worthwhile adds operational changes to the comparison. Keep the assumptions visible so the decision can be updated when new information arrives.
