Planning office cleaning scope and frequency
Base office cleaning frequency on how spaces are used, how many people use them, and the cleanliness required. Floor area helps with calculation but does not establish restroom demand or the needs of customer-facing areas.
Describe use by area
List workstations, meeting rooms, kitchen, restrooms, entrance, and any specialized spaces. Explain how many people use each and when. A quiet Friday and a busy Tuesday in a hybrid office may need different service.
Describe surface materials, furniture, and particular operational needs. Desk clutter affects what can be cleaned. Agree on what users will do to prepare the space.
Ask for tasks and frequencies separately
Every task may not be needed on every visit. Request a plan showing frequent and occasional work. Check supplies, trash removal, and tasks such as cleaning kitchen appliances.
Agree on visit times, entry, and alarm procedures. If staff will be present, assess together how cleaning affects their work and how the cleaning can be done.
Review the initial service period
Actual use may differ from the quote-stage assumptions. Arrange a review after the initial period: where is the standard met, and where should the service change? Base that review on observations rather than only a feeling that people are rushed.
A meeting room’s trash may need emptying every visit even if the floor does not need the same treatment as often. Quality monitoring helps justify changes. Keep separately ordered cleaning tasks visible alongside the recurring contract.
