Plan your event video before the cameras arrive
Agree on event video content beforehand because key moments rarely repeat for the camera. Decide whether you want a highlights film, recordings of presentations, or material to promote the next event.
Identify the essential moments
Provide the program and mark key moments, speakers, participant activities, and simultaneous sessions. Ask what the agreed crew can cover. One person cannot film two moments in different locations at once.
Explain what must not be filmed too. The organizer and production team should plan participant information and necessary publication arrangements before the day.
Coordinate sound and event technology
Recording speech requires different preparation from capturing general atmosphere. Connect the videographer and the event technician early. Ask which audio will be recorded and how it will be tested.
If interviews are wanted, reserve a location, time, and contact person. Hoping to catch a busy speaker by chance is not a reliable production plan.
Define the delivered versions
Ask about the highlights film’s length, separate presentations, short clips, captions, and deadline. A quick first publication may need a separate workflow, so mention it at the quote stage.
The production price includes editing and feedback rounds as well as filming. Channel-specific versions work best when planned during the shoot. Keep the approved program and shot list as the shared reference even if the event schedule changes.
