Preparing for staff headshots at your workplace
Plan workplace staff portraits around the participants, location, and intended use of the images. A clear schedule reduces waiting and helps the photographer produce a consistent series even with a large group.
Confirm how the photos will be used
Explain whether the images are for a website, presentations, directories, or several channels. Agree on framing, background, and the look you want. Consider how future employees can be photographed in the same style.
Clarify the requirements for taking and publishing the photos, and inform participants. Explain where the images will appear and whom they can ask about the arrangements. A calendar invitation for the shoot does not by itself settle these matters.
Prepare the room and participants
Ask the photographer about space, background, power, and the need for quiet. Reserve a location where the shoot will not be repeatedly interrupted. If the workplace is the background, check visible objects and confidential material.
Send participants brief instructions about arrival, clothing, and what to expect. Allow the photographer time to guide each person instead of scheduling only enough time to press the shutter.
Agree on selection and missed appointments
Ask whether the participant, client, or photographer selects the final image. Agree on a consistent editing standard and file naming. Make sure image selection does not delay delivery of the whole collection.
Plan for late arrivals and absences. A company photo day can include other images, but keep staff appointments clear. After delivery, store images and usage information in an organized way so the correct version is available for the next publication too.
