Booking sound and technical production for an event
Plan sound and event technology around the program and the audience. The question is not simply how many speakers you need, but what people need to hear, see, and experience during the event.
Give the technician a clear picture of the program
Describe the venue, expected audience, program, and performers’ requirements. Explain whether the event includes speeches, music, video, remote participation, or recording. Find out what equipment the venue already has and what you need to bring in.
Clear speech, a live performance, and background music place different demands on the equipment. When the supplier understands the goal, they can recommend suitable equipment and a layout that serves it.
Agree on who will operate the equipment
Check whether the quote covers equipment rental alone, setup, or a technician throughout the event. If your team will operate the system, ask for a walkthrough and straightforward instructions. A complex program may need a professional on site.
Arrange time for a soundcheck, presentation testing, and backup plans. Send videos and slides in the agreed format early enough to test them before the audience arrives.
Include the entire delivery window
Allow for transportation, setup, rehearsals, operation, and breakdown. Confirm access to the venue, power, and any outdoor conditions. Changes on the day can affect the technician’s hours and the final cost.
Attach a shared schedule to the quote request. If you are filming the event, bring the technician and the video production team into the planning together. Sound that works well in the room and sound that produces a useful video recording need separate consideration.
