An event planning timeline from start to finish
Build the timeline around the main bookings and the decisions that depend on them. You need a date, an approximate guest count, and a sense of the event before you can meaningfully compare venues and services.
Start with the essential requirements
Record the preferred timing, location, approximate attendance, and budget. Identify a few priorities you do not want to compromise on, such as an accessible venue, a particular performer, or the ability to prepare food on site.
Check availability for your preferred options before locking in other bookings. If the venue is still undecided, tell suppliers. An expression of interest or price inquiry is not a confirmed reservation.
Book services in an order that reflects their dependencies
Venue conditions affect catering, technology, the program, and decoration. First confirm what is available and what can be brought in. Then request quotes using the same information for every provider.
Create one shared timeline covering:
- Confirming bookings and contracts.
- Sending invitations and collecting attendance information.
- Providing final quantities and choices.
- Deliveries, setup, and rehearsals.
- The event-day program, breakdown, and returns.
Name the person responsible for each decision. A task list is not enough if no one knows they own a task.
Leave time for final checks
Confirm contact details, arrival times, and deliveries. Review what happens in the event of illness, changing weather, or delays. Name someone to handle practical questions on the day.
The event budget and venue choice form the foundation. If coordinating everything becomes too demanding, you can use Helmi to look for planning help or support just for the event day, then confirm the service scope with the business.
For a wedding, agreeing on what matters most to you both also helps with the schedule. If you want time with guests, give it a visible place in the program. Every service you book does not need to become a separate scheduled activity.
