What to check in a performer’s quote

Check travel, equipment, preparation, and possible extra hours as well as the performance itself. A performance fee does not always include every piece of equipment and every task needed at the venue.

Define the performance precisely

Record the location, date, audience, and purpose. Agree on the number and length of sets and the breaks between them. Explain whether you want hosting, a special program, or content prepared in advance.

Confirm time for setup and a soundcheck. Arriving just as the program begins may not be enough, even for a short performance.

Ask for costs and organizer responsibilities

Check travel, accommodation, meals, equipment, and technical staff. Ask about venue requirements such as the performance area and available power, and share them with the venue contact in good time.

Clarify filming and the use of recordings too. Booking a performance does not by itself define your rights to publish a video of it in company marketing. Music licensing needs depend on the event; for events in Finland, Teosto’s event license guidance (opens in a new tab) helps organizers investigate their requirements.

Agree on changes in writing

Ask about cancellations, rescheduling, illness, and charges if the program runs late. Name an event-day contact and decide who can authorize extra time. Do not assume a delayed start automatically extends the agreed finish time.

Include the performer’s preparation and breakdown in the shared event schedule. When all costs and responsibilities are visible, you can compare different performers against the same overall service.
