Define your business’s space requirements

Define premises needs through work and customer service before searching by floor area. Required space depends on who is present together, what they do, and the flow of goods and customers.

Describe a normal day and a busy one

Record staff attendance, customer visits, meetings, deliveries, and storage. Distinguish average use from actual peaks. A remote-working team may need fewer permanent desks but more shared meeting space than headcount alone suggests.

Ask different user groups for concrete problems in the current premises. Noise, missing storage, and awkward deliveries do not necessarily improve just by adding floor area.

Divide requirements into three groups

Identify essentials, negotiable features, and future growth needs. An essential may be technical capacity needed for operations or an accessible customer entrance. A preferred interior style belongs at a different decision level.

Use scenarios such as:

  • An employee needs a quiet call
  • A customer arrives for the first time
  • A goods delivery comes inside
  • The whole team meets together
  • The premises are cleaned after operations end

Describe what must work in each situation. That reveals service needs as well as space needs.

Prepare a one-page search brief

Bring together preferred location, use, key requirements, target timing, and a ceiling for total costs. Ask a commercial property consultant to refine the brief if needed before looking at properties.

Comparing rental spaces in practice helps test whether a proposal meets your needs. Calculating total costs keeps the budget from stopping at rent. A useful brief gives the search direction without deciding every solution in advance.
