How to get useful quotes and choose the right provider

Comparing quotes helps you find the right professional and understand what you are buying. Helmi Search brings finding businesses, sending quote requests, and comparing responses into one workflow. These steps will help you request a service for your home or business and make a decision based on scope, experience, and price.

1. Describe the result you want

Start with what you want to achieve and why. Describe the property or project, its location, and your preferred timing. Include your main constraints and the areas where you would welcome a professional’s recommendations.

For office cleaning, for example, your goal might be to keep the workspace clean without interrupting the workday. Describe how the premises are used, how many people use them, and which areas need cleaning. A provider can then suggest a suitable schedule and frequency.

You do not need to design the technical solution yourself. If the scope is still unclear, your first request can be for an assessment or planning help. Our guide to describing your needs will help you gather the starting information.

2. Decide what matters in your choice

Before asking for quotes, write down a few criteria you will use to choose a provider. Alongside price, consider experience with similar work, the proposed approach, availability, and how much coordination you will need to do yourself.

Separate requirements from preferences. If your event date is fixed, say so at the start. If you have not chosen a material, let the professional suggest options. Sharing a budget or price range can also help a business propose an appropriate scope.

Knowing your priorities makes it easier to judge whether an appealing extra or a small price difference should influence your decision.

3. Find businesses with relevant experience

Tell Helmi what you want to do and where. Helmi searches for suitable businesses and suggests recipients for your quote request. Use the suggested list or add and remove businesses. To explore the options further, look at previous work and ask how the businesses have handled similar projects.

For example, when restoring the windows of an old wooden house, experience with similar construction and materials is useful. References and work samples can show what a business has done and which parts of the project it handled itself.

If you edit the recipient list, keep businesses you would realistically consider hiring. That makes your comparison manageable and gives each business a worthwhile basis for preparing a quote.

4. Send a clear quote request

Helmi prepares a draft from your conversation for you to review before sending. Give each business the same description and ask it to address at least these points:

  • What is included, and what will the customer need to arrange?
  • How does the business propose to carry out the work?
  • How is the price calculated, and which costs does it include?
  • When could the work take place?
  • What does the business need before it can confirm the quote or schedule?

When the request and recipient list are ready, send it using the button in the app. Sending requires a free account and your explicit approval. Helmi does not send requests on its own.

State when you would like a response and allow time for follow-up questions or a site visit. If the scope changes while you are collecting quotes, share the updated information with every business still under consideration.

You can also invite an alternative approach. Ask the business to explain how it differs from your original request and why it recommends it. This leaves room for professional ideas while keeping the comparison clear.

5. Compare scope and price together

Compare responses in Helmi’s offers view. Read each quote in full, including its attachments, and check that the proposals address the same need. Look at the tasks included and the reasons each business gives for its approach.

You can also discuss the quotes with Helmi. Ask for help understanding the differences and explain which factors matter most to you. The businesses’ own responses are the basis for comparison, and you make the decision.

For example, cleaning quotes may differ in price because of visit frequency, supplies, or the inclusion of occasional deep-cleaning tasks. Clarify those differences and consider which package suits the way you use the premises. Include your own workload and any services you would have to arrange separately.

Treat missing information as an open question. Our guide to comparing quotes with different scopes can help you put proposals on a common basis.

6. Resolve open questions before ordering

Ask for clarification on anything that affects your decision. Ask about the reasoning too: why does the business recommend this solution, and how does it account for your project’s particular needs?

Collect your questions in one message and refer to the quote you received. If the scope changes substantially, request an updated quote. Our guide to requesting clarification will help you phrase questions that are easy to answer.

7. Agree on the next steps

Tell your chosen business how you want to proceed. Put the scope, price or pricing basis, schedule, payment terms, and practical responsibilities in writing. Agree on how changes will be discussed during the work. Let the other businesses that quoted know your decision so they know the comparison has concluded.

After comparing responses in Helmi, you can select your preferred business for follow-up. The conversation continues by email, where you can resolve remaining questions and agree on the order separately.

Start with Helmi Search (opens in a new tab) by describing what you need. Find suitable businesses, request quotes, and compare how they propose to solve your problem.
